How I Actually Connect My Apps Without Coding
1. Why trigger-based automations break way more than they should
The fun thing about no-code tools like Zapier, Make, or n8n? The triggers look reliable until you’re three layers deep and debugging ghost executions while your Slack pings at 2 a.m. I had a clean setup supposed to trigger from a new Typeform submission via webhook to send a Notion database update. Simple. Except it started double-firing — same payload, 30 seconds apart.
The root cause? Turns out, Typeform sends test pings AND real submissions almost indistinguishably when you’re editing the form. That’s not in their UI anywhere — you only spot it in the webhook payload’s hidden event_id
. If it ends in test_event
, ignore it. That took me 90 minutes to trace.
One sticky workaround: don’t use their built-in Zapier trigger. Just use a custom webhook trigger in Make with validation. Then log raw payloads into a Google Sheet or Notion table to inspect manually. Yes, it’s messier during setup, but at least you can see (and cut off) weird test or malformed data before it snowballs.
2. Using Google Sheets as a temporary integration scratchpad
At least half the integrations I build start in Google Sheets. It’s dumb but critical. Any time you have an API that you’re not totally sure how to map (especially when output keys shift mid-execution like from Webflow or Calendly), use Sheets as your dumb, loyal sidekick.
For example: I was connecting a Calendly event to an Airtable base. The email looked fine in Preview. But halfway through setup, the name field disappeared — totally missing from the JSON when sent from real users. Logged the webhook payloads to a Google Sheet (via a catch hook), and guess what? When someone booked without typing in their name (not a required field), the whole object for invitee
lost its nested name
key instead of returning null. Classic dynamic typing problem.
If you try mapping that nonexistent field into a later stage (like populating a Name column in Airtable), the workflow halts completely unless you’ve got fallbacks. Sheets gives you space to clean and normalize that data manually before wiring it into anything fragile.
3. Filtering bad data before it lands in your main app
Here’s how I tanked an entire Notion CRM in about three minutes: connected all form fillouts from Carrd into my Notion sales pipeline with zero filtering. First message was legit. Everything after that? Spam, junk leads, half-fills, one guy asking if I do crypto sites. Brutal.
What fixed it:
- Added an opt-in checkbox. But instead of just checking for “yes” in Make, I filtered for exact normalized Boolean true (because Carrd sends checkbox values as
"on"
or they’re undefined). - Added a Make filter right after the webhook:
text length is greater than 20 characters
in the message field. Anything shorter, gone. - Duplicate detection based on email combined with a timestamp limiter (no more than 1 per 24 hours).
Avoid trying to clean this on the Notion side. Their API doesn’t really handle conditional inserts — if it gets junk, it’s in forever unless you back-trace and clean manually. Better to dodge junk before it arrives.
4. Avoiding Zapier’s hidden auto-resume behavior after failures
One thing that caught me off guard: Zaps that error out don’t always stop cleanly. If you fix the issue later (say, a missing Airtable view or changed field type), Zapier may quietly auto-resume the Zap and process all the buffered tasks — including outdated or broken data.
Used to happen with a plugin sales form. Maybe eight failed triggers stacked up because someone renamed a column. I fixed it and walked away. Came back 10 minutes later and saw eight duplicate records and eight customer emails sent. Not ideal.
The trick? After any repeated Zap failure that generates a red bar, open the Zap runs dashboard and manually clear/pause any buffered runs. Zapier sneakily de-queues those when possible — there’s no prominent setting to disable this. Their triggers will try to deliver once conditions appear resolved, and unless your actions are idempotent (which they usually aren’t), you’ll be in trouble.
Aha moment: tailing the Zap history log and watching it actually auto-send tasks 30 seconds after edit-save if you don’t explicitly hit stop.
5. When Notion API forgets to hydrate linked database properties
This one racked my brain for hours. I wired Notion-to-Notion workflows: collecting form entries and linking them to a master Client database using a relation field. Everything mapped cleanly… or so I thought. But once the record landed and I tried to query it later in another Zap step, the related value was blank.
Eventually pulled down the raw object via Postman. The linked relation was there — as an ID — but the title
property wasn’t hydrated. Just a string of internal record IDs with nothing human-readable. Turns out, Notion’s API doesn’t auto-hydrate linked databases in filtering contexts. You need to manually fetch the related record ID, then look it up again in a separate API call if you want to render anything usable.
I now keep an extra Zap step every time I deal with link-relations — a “fetch by ID” step — just to hydrate the title fields and avoid passing garbage into emails or Slack messages. Feels redundant, but it’s the only reliable way to get names vs. mysterious ID strings.
6. Using Make filters with embedded runtime expressions
Make’s filter logic looks friendly until you want to use expressions like lower(text)
or parseJSON()
right inside logic paths. It’s actually possible, but not intuitive.
For example, I had a webhook from a form where the email came in as UPPERCASE. Needed to route based on domain. Using a raw “equals” match against example.com
failed every time. The fix? Use Make’s formula fields directly INSIDE the filter, like:
contains(lower(email), "@example.com")
Bit of an eye-opener. The docs show examples only in module fields, but the same expression language works mid-filter if you feed it in with correct syntax.
Oddest part? If you copy-paste those filters across scenarios, they don’t always transfer cleanly — sometimes Make drops the function parsing and treats it as a literal string. If your filter suddenly stops working, double-check whether the expression is colored (i.e. parsed/valid) or just bland grey (treated as raw text).
7. Handling nested JSON from Stripe or Shopify webhooks
One recurring nightmare: mapping values from webhooks sent by Shopify, Stripe, or Gumroad. Most of these come in deeply nested — with 3- to 5-layer objects where the field you need lives inside another object that sometimes isn’t there.
Stripe’s refund webhook, for example, sends the refund amount inside data.object.amount
. Okay. But if the refund is partial, and issued via API tooling, the object might come in as data.previous_attributes.amount
— depending on which Stripe setting was involved. And that’s not documented clearly anywhere.
I built a workaround using fallback variables. In Make, I use:
coalesce(data.object.amount, data.previous_attributes.amount)
So whichever exists first gets picked up for logging. Also useful when Shopify sends customer.default_address.zip
sometimes and shipping_address.zip
other times, depending on whether it’s manual fulfillment or app-handled. Map both in priority order, log both.
Don’t rely on a single version. These services will change payload structure with no warning — especially when platform updates hit. Always sandbox new integrations by watching 5–10 real executions before locking in the structure.
8. When a webhook loops back into itself via synced tools
This one absolutely nuked a system. I was syncing Airtable and Notion using an automation to keep Lead Status fields in sync. Airtable updated, pinged Notion. Notion updated, pinged Airtable. Enter: the loop of death.
After 6 identical records updated in a row (each triggering the other), I yanked the keys and built a debounce filter. In Make, I added a timestamp check: if the most recent update was under 30 seconds ago, kill the action. Had to store a last-updated log in a separate field per record to trap it properly.
Important note: Zapier and Make won’t auto-detect loops unless you build explicit conditions. They’re stateless. If two triggers bounce off each other, they’ll keep spinning up new runs until rate limits kick in. By the time you get the email, you’ve already got 200 records corrupted across platforms.
Wish I’d read the fine print more carefully when bi-directionally syncing anything. If the platform docs don’t mention loops — and most don’t — assume they’ll happen, and build pre-emptive logic to stop them.
