Here’s what happens when you give a client a free-tier Zapier setup and forget that it only runs every 15 minutes: they sit staring at a Google Sheet wondering why no new leads showed up. Meanwhile, Zapier’s task usage bar crawls toward the edge, and the Slack button you set up to test it still doesn’t trigger anything.

Zapier’s free plan delays are long enough to derail testing. The UI lets you build Zaps easily, but it hides the actual execution behavior under a couple of little tooltips. For example, schedule-based triggers (like “every day at 10am”) on the free plan only fire once every 15 minutes—but that window could stretch way wider if their servers are doing load balancing. That lag led one client to believe his CRM integration was broken, because his expectation (based on UI copy) was 10:00 on the dot. It actually fired at 10:14.

Also: Zapier won’t show you failed runs in the task history if the Zap hasn’t fired at all. So there’s no immediate way to tell if the problem is the trigger never firing, or it fired but failed downstream. You end up adding temporary steps—usually email or Slack—not to alert anyone, but just to have some visible proof that something happened. Doesn’t feel great. It’s like debugging with carrier pigeons.

The one saving grace? Webhooks. They fire instantly, even on the free plan. So if you can convert your trigger into a webhook (say, from a form submission or a button press in Notion or Airtable), you can sidestep Zapier’s schedule lag almost entirely.

2. Notion databases break silently when filtered incorrectly via API

If you’ve ever tried to automate a Notion database filter using something like Make or n8n, you’ve probably run into this one and didn’t realize it. You send a filter query to the Notion API, and… it just returns no results. No errors, no logs. Not even a 400. Just a silent empty array of sadness.

The issue comes from Notion’s handling of multi-select and rollup filters. Say you want to get all entries where “Client Status” is “Active”. If that property is a multi-select, but you use a filter that assumes a “text” value type—like checking equality with a raw string—the API doesn’t complain. It just says, “Sure, here’s zero results.”

I ran into this when pulling project tasks into a Google Sheet via Integromat (now Make). The filter looked fine: {"property":"Status","select":{"equals":"Active"}} but the database field had changed to a multi-select 4 days earlier. Nobody told me. The automation just… stopped working. Not quietly broke (I’d prefer a 500), but started returning null data, which rerouted downstream logic and confused everyone in the Slack standup.

The fix? Always test your Notion API calls in Postman or a live webhook debugger before wiring into automation tools. Notion has one of the slippiest schema mutation behaviors of any platform I’ve used. Fields can be renamed, restructured, or nested without breaking the database itself—but the API has no idea what to do about it unless you get the JSON perfectly aligned.

3. Airtable automations can block themselves without clear error logs

Airtable’s built-in automation module looks pretty friendly until it doesn’t fire and you spend half an hour guessing why. This happened twice last week. Once during a record update triggered by a form submission, another time when duplicating a row via a third-party webhook.

In both cases, everything inside the Airtable base seemed fine. The triggers worked manually, the fields were populated, permissioning all looked good. But the automation log just showed “Skipped” with no details. Turns out, Airtable automations can silently skip runs when the automation logic would re-trigger itself recursively—but it doesn’t throw an error for that. It just stops and logs a skip with no trace.

What’s wild is that Airtable doesn’t show you which part of the logic tree it thinks is unsafe. For instance, checking if a cell value changed and then updating a related cell via script? That counts. Airtable executes the script, detects that the change would trigger itself again, and cancels.

Workaround: insert a random hidden checkbox or single-select field used only to flag whether a record has been “touched” by automation. You update that field just before the final step, then add a conditional filter on the trigger to exclude any record with that flag already set. Manual, brittle, but it works—and Airtable doesn’t warn you about any of this in the UI.

4. Button fields in Airtable behave differently across interfaces

This one burned me on a client dashboard where Airtable embeds were only visible via interface builder. Button fields embedded inside an Interface act completely differently from how they work in the main base view. Inside a base, buttons trigger scripts immediately and cleanly. But in Interface views, the buttons sometimes require two clicks, sometimes reload the interface, and sometimes just do nothing at all.

Speculation is that the Interface wrapper uses a different execution context, maybe a sandboxed iframe or container, which means what the user sees and what the automation sees are not always synchronized. I had buttons hardcoded to run “assign to owner” scripts. Worked perfectly in testing. Deployed to a client team. Nobody could click them unless they switched to grid view, which we had hidden for simplicity.

Tips I’ve added since:

  • Always test buttons in Interface after publishing—not just in preview.
  • Use log statements at the beginning of script blocks to confirm execution flow.
  • Teach users to double-click (sad but honest tactic).
  • Consider replacing button functionality with automation triggers when possible.

This is one of those interface quirks that isn’t documented anywhere and doesn’t show up in error logs. You think users are just not understanding, until you watch a screen recording and realize they clicked the button five times and it silently failed every time.

5. Shared team access in Make breaks after renaming scenarios

Here’s something fun: in Make, if you rename a scenario while you’ve got collaborators shared into your workspace, their access can break. Not permissions-wise—they still show up as collaborators. But their editor session sometimes fails to save changes, especially if they had the tab open before the rename happened.

I found this out the hard way when an assistant updated a webhook scenario and added a filter that didn’t stick. She clicked Save, saw the usual confirmation modal, but the next time I opened the editor—zero changes. She thought I deleted her work. I thought she forgot to publish. Turns out, Make cached her session under the old scenario ID and never flushed it out. There was no UI feedback indicating this, and the misleading part was that browsing to the renamed scenario looked fine. It just didn’t persist edits.

We fixed it by logging out, clearing browser data, and reopening the scenario from the root dashboard. Clunky. But it worked. That also made me paranoid enough that now I never rename scenarios if anyone else is actively working that week.

6. n8n delete node bug causes ghost executions

If you use n8n, you might have noticed that deleting a node in a workflow doesn’t always fully remove its impact. I had a webhook workflow that passed data through 5 transformation nodes, ending in a Discord notification. After deleting one transform node (supposedly unused), Discord started showing malformed payloads. Body fields that I thought were removed kept showing up.

Here’s the kicker: n8n cached the deleted node’s computed output, because I hadn’t re-deployed the whole workflow. There’s this weird state n8n enters where parts of the graph still exist in memory—even if they’ve been visually deleted in the editor—until you explicitly hit “Execute Workflow” from the start or re-save the entire structure.

I found that if I opened the plain JSON export and searched for the old node ID, it was still there, disconnected but living. A little snippet that would’ve sabotaged any prompt-based automation:

Remedy: always export your workflow JSON before deploying and do a search pass for any orphaned node IDs. There isn’t yet a UI-level “validate graph integrity” option, and this bug had me chasing phantom outputs for longer than I’d admit.

7. Google Sheets batch update lag inserts unexpected delay chains

I was testing an automation where a webhook from a checkout platform sent a purchase record to Google Sheets via Sheets API (not Zapier), then I had a follow-up script categorize the product and label fulfillment priority. Something I’ve done like a hundred times—until I noticed the labeling script was working off rows that hadn’t finished writing yet.

The Sheets API’s value update via batchInsert isn’t instant, especially if you send multiple batch requests within a few seconds. Even more strangely: the Apps Script trigger fired before the batch write committed visually, so the logic saw half-written rows. Meaning: a fulfillment priority of “high” got labeled “undefined” instead.

You don’t see this problem when using the Sheet manually. But with scripted inserts? It breaks fast. The trick that fixed it was adding a delay of 1.5 seconds between insert and follow-up logic. I borrowed the delay mechanism from another automation that queried a rate-limited API—just wrapped the second function in Utilities.sleep(1500), and that actually stabilized the flow.

Google doesn’t document this behavior in any meaningful way. Docs say “near real-time,” but the batch write buffer introduces micro-lags that stack unpredictably. And once you see downstream logic behaving wrong from data that looks right, you stop trusting everything.
